- Provide a high level of administrative assistance to RRP Project team member and visitors during Project period, represent as
Functional
Admin for Project team.
- Manage Document record & filling as per PMI requirement.
- Support project planning & execution in case of Project Planner absence.
- Support the implementation of master plan communication within organization in order to enable effective & efficient exchange
of
relevant information.
- Administrative Assistance
ㆍScheduling Set up Project team regular meetings, events, manage meeting requests, meeting invitations and room reservation.
Control potential complex calendar ensuring Project teams and OMT are well informed.
ㆍTravel arrangement & the main contact for all logistics such as transportations and hotels for business trips or vacation typically
involving multiple changes and destinations for RRP Project team member and visitors. Support with travel documentation and
procedures (itineraries, visa/passport procedures).
ㆍFunctional Admin for project team, ensure JDs & training completion are done as per PMI requirement.
ㆍCreate PR for Project related stuff.
- Document Management
ㆍOrganize and execute the Document recording, typing, filing, scanning, phone calls, mails, couriers, faxes and etc.
ㆍManage Project's Document storage location and utilization
- Planning Support
ㆍActively support Project Planner to closely monitor Master Plan of the overall Project, regularly updating the status, and sharing
the information to all stakeholders.
ㆍCompile regular and ad-hoc reports in line with project requirements/PMI guidelines and also, based on requests received from
project stakeholders. Review and make sure that all the available data/information are correct and reflect reality.
- Communication Support
ㆍExecute internal communication master plans as per Project Manager direction & support Communication lead including Ops.
Communication submission.
ㆍProvide translations and interpretation services, write, edit internal message as needed, to ensure effective communication within
Project team. |

- 2 years or above in office administration or secretary
- Work experience in International setting is preferred
- Fluent level of written and spoken English is must
- High level of MS Excel
- Good level of MS Project is preferred
- University graduate
