Report to Branch Manager and Country Manager
Job Position Summary The Contractor Services Coordinator will assist Branch Manager and the Business Unit as a whole with technical data duties linked to service delivery to Clients & ensuring internal processes are followed with regards to Fircroft systems & outside legislation The incumbent also assist the Branch Manager and the Business Unit as a whole in the provision of excellent care and support to our clients and contractors ensuring rigorous adherence with all procedures related to their initial and ongoing assignment experience.
Job Role and Duties
Logistics • Coordination of travel for contractors - providing Logistics relevant information to book travel for contractors and following up with the Logistics Department ensuring everything has been arranged. Obtain authorization from hiring manager. • Informing Logistics of overseas medical insurance for Contractors. • Prepare visa and work permit where applicable for Contractors.
Systems and Process • Full responsibility for on boarding of all contractors (sourced and select temps). • RMS – in depth knowledge, focus on assignment set ups/functionality (including PO fields) and tax/candidate set ups. • Approval of RMS Payroll forms. • RMS Placement - set as current recruiter. • Maintenance/completion of all RMS QA tasks. • Maintenance of Hot Retention List and contact with Gold Candidates. • Creation and maintenance of 2nd Tier placements. • Invoicing and Account Codes – requests and use of account codes, knowledge of Customer Defined Fields. • Understanding of the back office processes – payroll, invoicing, credit control and accounts. • HMRC Regulations (and candidate set up use in RMS) Back up documentation requirements (and the effects upon tax status in RMS). • Coordinate Periodic Reviews for Candidate and Clients passing to appropriate staff member, when appropriate and agreed by Business Manager conduct periodic reviews. • Termination Reviews – Candidate (and Clients when appropriate and agreed by manager). • Purchase Orders - maintenance and updates within RMS.
Documentation and Reports • Producing contracts. • Producing letters of intent. • Starter Packs – Knowledge of all related documentation and process for sending S.P.’s to contractors. Ensure starter pack is completed & returned, also ensuring that the relevant information is contained in it, if not, the starter pack amendment process has to be followed. • Obtain all relevant placement documentation (linked to Starter Packs) and ensure return of all documentation is attached to RMS. • Production of weekly/monthly/quarterly reports for Clients, related to live workers and terminations. • Coordinating Client communication to the Business Unit.
Customer Service • General Customer Service – Q&A techniques and objection handling. • Client Issues (escalating appropriately to the Branch Manager). • Regular communication, highlighting business development opportunities to the Branch Manager. • Escalate appropriately to Back Office departments any issues raised by a client or contractor, ensuring a resolution is provided. • Notify Company Solicitor and Group HSSE Manager of any accidents and incidents involving contractors.
Requirements • Good level education. • 2–5 years’ administrative / office experience, including a demonstrable track record of successfully building strong relationships with their specific client groups. • Experience of working in a Customer Service environment • Team player, able to multitask and commit to deliver result. • Proficiency in Microsoft Office. • Understanding of the technical/ engineering recruitment market desirable but not essential • Good command of spoken and written English.
